Summary
- Mail Buddy is a desktop app for Mac and Windows. It shows your Gmail and Google Chat from one or more Google accounts in one window.
- The app connects directly from your computer to Google. ZayneSoft runs no servers that receive, store or process your Google data.
- Your email, chats, contacts and sign-in tokens stay on your own computer. ZayneSoft never sees them.
- We do not sell your data, show ads, or use your data to train AI or machine-learning models.
- You can remove an account at any time. Mail Buddy then signs out of Google and deletes that account's data from your computer.
Who we are
Mail Buddy is published by ZayneSoft LLC (“ZayneSoft”, “we”, “us”). This policy explains what information the Mail Buddy desktop application (“Mail Buddy” or “the app”) accesses, how it uses that information, and the choices you have. It applies to the app and to this website page. If you have questions, email sales@zaynesoft.com.
Google data the app uses
When you add a Google account, Google asks you to allow Mail Buddy to access certain information. Mail Buddy asks only for the access it needs for the features you use. The table lists each permission and why the app needs it.
| Google permission | What Mail Buddy does with it |
|---|---|
Your email address and basic profileopenid, email | Identifies which Google account you added and shows its address in the app. |
Read, compose, send and organize Gmailgmail.modify | Shows your mailboxes, folders, labels and messages; downloads attachments you open; sends the messages you write; and archives, labels, stars, marks as read or unread, and moves messages to Trash or Spam when you ask it to. It never permanently deletes mail. |
See your contacts and other contactscontacts.readonly, contacts.other.readonly | Suggests recipients as you type an address or @mention someone in an email. |
See your organization's directorydirectory.readonly | For Google Workspace accounts, shows coworkers' names in chats and suggests them as recipients. |
Google Chat conversations and messageschat.spaces.readonly, chat.messages, chat.memberships, chat.users.readstate | Lists your direct messages and Spaces; shows, sends and edits your chat messages and attachments; shows who is in a conversation so you can @mention them; marks conversations as read; and lets you leave a Space. |
Files in Google Drive that Mail Buddy creates (optional)drive.file | Only when you turn on Keep notes in Google Drive for an account: saves your Mail Buddy notes to a single file, “Mail Buddy Notes”, in that account's Google Drive, and reads it back so the same notes appear on your other computers. With this permission Mail Buddy can see only the files it created itself; it cannot see or change anything else in your Drive. |
Create and delete chat conversationschat.spaces.create, chat.delete | Starts a new chat or Space when you ask it to, and deletes a Space or message only when you choose Delete. |
Mail Buddy also stores your app settings on your computer, such as fonts, signatures, notification choices and which accounts appear in All Inboxes. It does not collect analytics, usage tracking, crash reports, location or device identifiers.
How the data is used
Mail Buddy uses your Google data only to provide the features you see in the app: showing, searching, organizing, writing and sending your email and chat messages, and showing unread counts and notifications on your computer.
- We do not sell, rent or trade your data.
- We do not use your data for advertising, including ad targeting or retargeting.
- We do not use your data to train or improve artificial intelligence or machine-learning models.
- We do not use your data to determine credit-worthiness or for lending purposes.
- No person at ZayneSoft reads your email or chats. Because the data never reaches us, we cannot.
Where your data is stored
Mail Buddy talks directly to Google's servers over encrypted (HTTPS) connections. Nothing passes through a server operated by ZayneSoft or anyone else.
- Sign-in tokens that let the app reach your accounts are kept on your computer and encrypted by your operating system: the Keychain on macOS, and Windows' built-in data protection on Windows.
- A cache of recently viewed messages, conversations and attachment previews is kept in the app's own data folder on your computer, so the app opens quickly. It is limited in size, older items are removed automatically, and you can empty it at any time with Settings › General › Clear Cache.
- Your notes are kept on your computer in the app's data folder, encrypted by your operating system in the same way as sign-in tokens. If you turn on Keep notes in Google Drive for an account, they are also saved in a file in that account's own Google Drive, under Google's privacy policy. They are never sent to ZayneSoft.
- Your email and chats themselves remain stored by Google in your Google account, under Google's own privacy policy.
Writing help (optional)
Mail Buddy can rewrite a message you are writing (for example to polish it, make it more formal or shorten it) using Google Gemini. This feature is off until you add your own Gemini API key in Settings › Composing.
- Only the text you choose to rewrite (the selected text, or what you typed in that message) is sent, and only when you pick a Writing help option. It goes directly from your computer to Google's Gemini API using your own key.
- Mail Buddy never sends your other email, the quoted original message, your signature, your contacts or your chats to Gemini.
- Google handles that text under its Gemini API terms. With a free key, Google may use the text to improve its products; with a paid (billing-enabled) key, it does not.
- Your Gemini API key is stored encrypted on your computer, like your Google sign-ins. Remove it in Settings › Composing to turn the feature off.
Google API Services: Limited Use
Mail Buddy's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Removing your data
- Remove an account: in Settings › Accounts, select the account, click the Remove account (−) button and confirm. Mail Buddy revokes its access with Google and deletes that account's sign-in tokens and cached data from your computer.
- Revoke access from Google: you can also remove Mail Buddy's access at any time from your Google Account at myaccount.google.com/permissions.
- Notes in Google Drive: turn off Keep notes in Google Drive in Settings › Accounts, then delete the “Mail Buddy Notes” file from your Google Drive if you no longer want it there.
- Uninstall: deleting the app, together with its data folder, removes everything Mail Buddy stored on your computer.
Because ZayneSoft never receives your Google data, there is nothing for us to delete on our side. If you would like help removing data from your computer, contact us.
Security
Mail Buddy signs in with Google's standard OAuth process in your web browser, so the app never sees your Google password. Connections to Google are encrypted, sign-in tokens are encrypted on your computer, and cached data is readable only by your user account on that computer. No method of storage or transmission is completely secure, so please keep your computer protected with a password and up to date.
Children
Mail Buddy is not directed to children under 13, and we do not knowingly collect information from them.
Changes to this policy
If we change this policy, we will post the new version on this page and update the date at the top. If a change affects how Mail Buddy uses Google user data, we will tell you in the app before the change applies.
